Eligibility for access to Osnabrück University Sports (ZfH) extends to the students (excluding secondary students (enrolled at a different university), minor subject students, and guest auditors) and employees of Osnabrück University and the University of Applied Sciences Osnabrück. Students and employees of the Member Universities of the University Sports Association of Lower Saxony/Bremen (HVNB) are also entitled to access the University Sports program and facilities. External individuals, including students from other universities, are not entitled to access the Osnabrück University Sports program or facilities. An exception applies only to dance courses for couples, where the partner may be an external participant.

Users of the University Sports events and courses shall upon request present proof of their eligibility and status as members of the university.

Accepting the Terms of Use and House Rules

All participation in the program and access to the facilities of Osnabrück University Sports (ZfH) takes place in accordance with the ZfH Terms of Use in conjunction with the regulations and guidelines applicable to the respective sporting facilities. Users accept these regulations and guidelines when they use the program and facilities of Osnabrück University Sports.

Registration

(1) Unless otherwise specified in the program descriptions, registration is required to access the program and facilities of Osnabrück University Sports.

(2) Registration is not transferable.

(3) For content-related, methodological, or organizational reasons, Osnabrück University Sports may specify certain conditions for participation; these will be set out in the program descriptions.

(4) All registrations shall be made online using the internet portal of Osnabrück University Sports (www.zfh.uni-osnabueck.de). Registrations by telephone or by email are not possible.

(5) Places are allocated on a first-come, first-served basis. The use of external automated registration mechanisms is prohibited.

(6) If a program is already fully booked, interested individuals can register their email address with the information service and will be notified should places become available. Registering for notifications of available places does not establish a claim to a vacant place. The allocation of places will also be carried out on a first-come, first-served basis based on the status of the active booking.

Services

The University Sports program includes the services specified within the program description. These are group events, in which provision is not made for individual services. In particular, users have no entitlement to a specific instructor, a particular type of instruction, or the use of specific facilities or equipment.

Program Cancellations and Alterations

(1) There is no entitlement to the provision of any course dates listed in the program descriptions or to any specific program format.

In particular, courses and individual sessions may be subject to cancellation in cases of low attendance, force majeure, when sports facilities are occupied by other events, if the course instructor is unavailable and the organizers cannot find a qualified replacement in time, in case of operational disruptions such as construction or repairs, or in the event of a closure due to an official order or legal regulations.

(2) For courses or events offered free of charge, there is no entitlement to compensation in the event of cancellation or alteration.

(3) In the case of cancellations or changes to fee-based courses or events, the user is generally entitled to a pro rata refund of the fee paid, provided that the change or cancellation affects more than 10% of the scheduled duration of the course. The claim must be submitted to Osnabrück University Sports within six weeks of the announcement of the cancellation or alteration. For courses that are dependent on the weather, there is no entitlement to a refund if weather conditions do not allow for the course or event to be conducted properly and safely.

Exclusion from Participation

(1) In certain justified cases, participants may be temporarily or permanently excluded from individual events or from University Sports altogether.

Reasons for this include:

violations of the fee regulations, including the terms of use and house rules, violations of Osnabrück University Sports participation conditions, violations of instructions from authorized personnel, attempted fraud during registration, and lack of required sporting ability or qualifications, or minimum health requirements.

(2) During University Sports operations, the University Sports staff including the Info-Point employees and the course instructors are authorized to issue a temporary ban on participation verbally in the event of an immediate and specific disruption that requires a prompt resolution. A permanent exclusion from participation shall be issued in writing by the University Sports management together with a statement of the reasons for the exclusion.

(3) Exclusion from the premises shall be issued in accordance with Section 2 subsection 7 of the House Rules.

Liability

(1) Osnabrück University of is liable only in cases of intent and gross negligence. Osnabrück University accepts no liability of any other kind, especially with respect to lost or missing property. Statutory provisions for personal injury remain unaffected.

(2) Users are liable for any damages and losses they cause to sports facilities, equipment, furniture, and technical installations caused by their actions.

(3) By using the facilities, users acknowledge the regulations governing liability.

Insurance

(1) Members of universities in Lower Saxony are legally insured against accidents in accordance with the regulations of the State Accident Insurance Fund of Lower Saxony (LUKN). The conditions for and scope of insurance coverage for participation in university sports can be found in the current accident insurance regulations of the LUKN.

(2) All participants in Osnabrück University Sports are advised to take out liability insurance coverage in case of third-party injury or damage to property during sporting activities that may lead to liability claims.

Charges for Services

University Sports is entitled to charge for participation in courses and activities in accordance with the Fee Schedule for University Sports. The amount payable is published with the course listing in the program.

Payment of Fees

Fees are payable, unless otherwise stated in the course program, at the same time as registration. Payment shall be made via direct debit using the SEPA system. By registering, the user gives their consent for the fee for the reserved course to be debited from their account, and the mandate for the direct debit is considered to have been granted. Before the debit is made, a notification (prenotification) regarding the date of the debit will be sent to the email address provided during registration. Any costs incurred due to the provision of incorrect contact details, account information, or insufficient funds in a bank account shall be borne by the person registered for the course. Users shall notify University Sports immediately of any change of account details after registration.

Free Cancellations

(1) Bookings for individual sessions may be canceled free of charge up to 24 hours before the scheduled session. Cancellations in such cases must be made by email to University Sports at (zfh@uni-osnabrueck.de) or via the Info-Point at Sportinfo@uni-osnabrueck.de.

(2) For all other events (whole courses, workshops, or one-day events), the applicable deadlines for a free cancellation shall be provided in the respective program descriptions. In such cases, cancellations must be made to University Sports at (zfh@uni-osnabrueck.de). The full participation fee becomes due once the deadline has passed. This also applies to late registrations made after the deadline.

Cancellations through the course instructors are not possible!

As soon as we have canceled your booking, you will receive a confirmation email. This email should be kept until the program has ended.

Discounted fees for cancellations for a demonstrably important reason.

For cancellations made after the regular cancellation deadlines, a discount on fees may be granted for courses lasting several weeks if the user can prove the existence of an important reason. Cancellations are however only valid from the day of the cancellation email to Osnabrück University Sports at (zfh@uni-osnabrueck.de) and fees will only be refunded on a pro rata basis from that point onward.

Important reasons include:

  • illness or injury, proven by a medical certificate, that permanently prevents participation in the course,
  • certified de-registration from Osnabrück University or Osnabrück University of Applied Sciences,
  • documented relocation of residence that makes participation unreasonable,
  • cases of exceptional hardship.
